The Most Common Mistakes Companies Make When Booking Models

Booking models for a campaign, photo shoot or promotional event should be a straightforward process. However, many companies find themselves facing unnecessary challenges simply because they are not fully aware of what to look for or how to prepare. Selecting the right model is an important decision. It influences how your brand is perceived, how your content looks and how smoothly your project runs on the day.

Understanding the common mistakes can help you avoid them and ensure your next booking is stress free and effective. This guide highlights the errors brands most often make and offers useful advice to help you make the best choices. Dreams Agency works with a wide range of clients, so we see these issues regularly and know how easily they can be avoided.

Not Defining the Purpose of the Project Clearly

One of the biggest mistakes companies make is starting the booking process without a clear understanding of their own needs. Before approaching an agency or selecting talent, it is essential to know exactly what the model will be representing.

Consider the following questions.
What is the aim of the project.
Who is the target audience.
What feelings or qualities should the model convey.
Where will the content be used.

Clarity at the beginning will guide every decision that follows. It will determine the style of model you need and ensure that everyone involved understands the vision. Without this foundation, companies often end up booking talent who look the part but do not match the tone or message of the campaign.

Choosing Models Based Only on Appearance

Appearance matters, but it is only one part of the picture. Many companies choose a model simply because they look good in photographs. However, experience, personality and professionalism are equally important. A model may be visually perfect but still unsuitable if they cannot take direction, communicate well or adapt to the environment of the shoot.

A successful model knows how to interpret a brief, express emotion naturally, pose confidently and work well with photographers and crew. They can also help maintain a positive atmosphere on set, which is vital for productivity. At Dreams Agency, we see time and again that the most effective talent are those who combine the right look with the right attitude.

Not Considering the Target Audience

Your model needs to resonate with the people you want to reach. A mismatch between the model and the intended audience can make the campaign feel disconnected. For example, a brand aimed at young families may find that an overly glamorous or high fashion look does not communicate familiarity or warmth. A contemporary fitness brand might require someone who genuinely reflects a healthy and active lifestyle.

Think about who will view the imagery or meet the model in person. Authenticity is important. When people feel represented or can imagine themselves using your product or service, the campaign becomes much more effective.

Leaving the Booking of Models Too Late

Another common issue is trying to book models at the last minute. Professional models often have busy schedules, particularly during certain times of the year. If you begin the process too close to your shoot date, your options may be limited. You might find yourself compromising on availability, experience or suitability.

Planning early gives you better choice and allows time for castings, discussions and adjustments. It also gives you space to prepare wardrobe, styling and creative direction with the model in mind. A well prepared project almost always delivers stronger results.

Failing to Provide a Proper Brief

Even the most experienced model can only work with the information they are given. A vague or incomplete brief is one of the most damaging mistakes companies make. It can cause confusion, slow down the shoot and lead to results that do not match your expectations.

A good brief should include the style of photography, brand values, wardrobe guidance, mood references, essential poses or expressions and the overall purpose of the campaign. When a model understands the goal clearly, they can perform with confidence and consistency.

Agencies appreciate thorough briefs as well, because it helps them match the most suitable talent to your project. Dreams Agency always encourages clients to share as much helpful information as possible so the process is smooth for everyone involved.

Overlooking Professional Behaviour and Attitude

Models represent your brand, so professionalism matters. Some companies become focused on finding a particular look and forget to consider reliability and behaviour. A dependable model will arrive on time, remain focused, follow direction and work well with others. These qualities contribute significantly to a productive and enjoyable shoot.

Reviewing feedback, past experience and agency recommendations can help you choose someone who embodies both professionalism and skill. It may seem like a small detail, but it can make a noticeable difference to the entire project.

Ignoring Practical Considerations

There are also practical details that companies sometimes overlook. These include travel distance, call times, changes to schedules, wardrobe preparation and the length of the shoot. Planning these elements carefully avoids delays and ensures that everyone involved knows what to expect.

Think about how long each set up will take and be realistic about time management. If the shoot involves outdoor locations, consider weather changes and have alternatives ready. Practical planning reduces stress and supports a smooth workflow.

Not Allowing Enough Time for the Model Photo Shoot

A rushed shoot rarely produces the best images. When companies underestimate the time needed, they risk limiting creativity and reducing the variety of shots. Good photography takes patience, adjustment and experimentation. A relaxed model will always deliver stronger results than one who is hurried from one setup to another.

Build enough time into your schedule so the photographer, model and creative team can work comfortably. This not only improves the final images but also makes the experience more enjoyable for everyone.

Strong Preparation Makes Working with Models More Successful

Selecting the right model is an important part of shaping your brand message and producing strong visual content. When companies understand what they need, prepare properly and think beyond appearance alone, the entire process becomes easier and more effective.

The most common mistakes come from rushing, lack of clarity or focusing on only one element of the project. By taking time to define your goals, understanding your audience and providing clear information, you give yourself the best chance of success.

Dreams Agency works with many clients who want guidance or reassurance when booking models. We aim to make the process simple, professional and enjoyable, and we also pride ourselves on being a positive and supportive agency for models to work with.

With the right preparation and thoughtful choices, your campaign can feel natural, authentic and aligned with your brand identity, resulting in content that stands out for all the right reasons.

Photo Shoot Checklist: What Clients Need to Prepare for the Big Day

Planning a photo shoot can be an exciting yet daunting task, whether you’re promoting a new product, launching a fashion line, or capturing brand visuals for your website. A successful shoot relies on careful planning, attention to detail, and the right team – including experienced professional models.

At Dreams Agency, we understand the complexities of organising photo shoots and the importance of getting everything right on the day. This guide is designed to help clients feel fully prepared, stress-free, and confident when the camera starts rolling.

1. Define the Objective of the Shoot
Before any logistics come into play, take time to clearly define the purpose of your shoot. Are you promoting a product? Creating lifestyle content? Shooting editorial fashion? Your objectives will influence every decision moving forward – from location and lighting to styling and model selection.

Questions to ask:

What message do we want to convey?

Where will the images be used? (e.g., website, social media, print)

What’s the mood or aesthetic we’re aiming for?

Having a creative brief that outlines these answers will keep everyone aligned.

2. Create a Mood Board
A visual reference goes a long way. Compile a mood board that includes:

Lighting and colour schemes

Poses or framing styles

Wardrobe inspiration

Locations or backdrops
This not only helps your photographer but also ensures your models, stylists, and makeup artists understand the intended vibe.

3. Book the Right Photographer and Crew
Work with professionals who understand your industry and the look you’re trying to achieve. For commercial shoots, it’s crucial that the photographer is not just technically skilled but also able to direct models and adapt to different scenarios on the fly.

Your crew might also include:

Makeup artist and hair stylist

Wardrobe stylist

Assistant or runner

Art director or brand rep (depending on the scale)

Tip: Have a pre-shoot meeting or call with your team to walk through the schedule and creative direction.

4. Secure the Location
Choose a setting that supports your shoot’s goals – studio or outdoor, minimalist or vibrant, urban or natural. Be sure to:

Visit the location ahead of time

Check lighting conditions

Arrange for permits if needed

Consider noise levels, weather, and access to facilities (changing areas, power sources, toilets)

Have a backup plan if shooting outdoors.

5. Hire Professional Models from Dreams Agency
One of the most important components of a successful shoot is the talent in front of the camera. At Dreams Agency, we provide professional, experienced models who bring more than just looks – they bring reliability, charisma, and the ability to connect with the camera in a way that enhances your brand.

Efficient Booking: Our team works with you to match the perfect model(s) to your brief, quickly and without hassle.

Nationwide Coverage: Whether your shoot is in London, Manchester, Birmingham, or a remote location, we can provide talent wherever you are.

Our models are not only photogenic but also punctual, professional, and easy to direct – saving you time and ensuring a smooth-running day.

If you’re unsure about the kind of model that best suits your project, our booking experts are on hand to offer advice and make tailored recommendations based on your objectives and brand aesthetic.

6. Plan the Wardrobe and Props
What your models wear will set the tone of your visuals. Either supply the clothing yourself or collaborate with a stylist to curate the perfect wardrobe. Ensure all garments:

Fit the models correctly

Are steamed or ironed

Align with the colour scheme and mood board

Don’t forget the finer details like jewellery, shoes, or seasonal accessories.

Props should be relevant but not distracting. If you’re shooting product images, be sure everything is clean, intact, and camera-ready.

7. Prepare a Shot List
A shot list is a breakdown of every image or scene you want to capture. It keeps your team focused and ensures nothing is forgotten. Include:

Angle or framing notes (e.g., wide shot, close-up)

Who/what is in each shot

Specific poses or expressions

Lighting notes (e.g., backlit, natural light, dramatic)

This is especially useful when you’re working with multiple models or outfits.

8. Timing and Schedule
The day of the shoot should run like clockwork. Create a timeline that includes:

Arrival times for models and crew

Setup and test shots

Wardrobe and makeup changes

Breaks and meals

Wrap-up and pack-down time

Be realistic and build in buffer time – shoots can overrun, especially if the weather or technical issues arise.

Tip: Share the schedule in advance with all involved and bring printed copies on the day.

9. Legal Considerations and Paperwork
Make sure all contracts and release forms are signed beforehand. You may need:

Model release forms (confirming use of images)

Location permits or permissions

NDAs if the project is confidential

Dreams Agency can assist with paperwork involving our models, ensuring everything is legally compliant and straightforward.

10. Bring the Essentials
Here’s a quick checklist of easy-to-forget items:

Steamer or iron

Safety pins and clips for wardrobe fixes

Makeup wipes and touch-up products

First aid kit

Snacks and bottled water

Phone chargers and extension leads

Gaffer tape, scissors, and clamps

These small items can make a big difference to the comfort and productivity of your team.

11. Be Present and Flexible
While a well-planned shoot will keep things smooth, flexibility is key. Be open to spontaneous creativity and adjustments based on lighting, model interaction, or new ideas from your photographer.

Being on set allows you to give real-time feedback and ensure the content aligns with your vision.

Final Thoughts
A well-prepared photo shoot is the result of clear planning, the right creative partners, and – most importantly – top-quality talent. At Dreams Agency, we take pride in supplying professional models who elevate your project and deliver results that speak volumes.

If you’re planning a shoot and need reliable, experienced models who understand how to deliver on-camera, don’t leave it to chance – trust the team at Dreams Agency. Whether you’re working with tight deadlines or a complex concept, we’re here to make it happen.

Types of Hospitality Staff You Might Need
At a big event like Polo in the Park, you’ll need a mix of event staff and hospitality professionals depending on the areas you’re covering.

Know how to work in a team

Hospitality Career Paths – A Quick Look
Many people start with temporary event jobs or entry-level hospitality roles, especially around major London events. It’s a great way to build experience, develop customer service skills, and even find long-term career opportunities.

Example Paths:
Hotel Sector: From receptionist to hotel manager

Event Sector: From event assistant to senior event manager

Senior event managers: Up to £60,000 depending on experience and event size

Training & Qualifications
For most temporary hospitality roles, formal qualifications aren’t essential — but having the right training helps.

Useful certifications include:

Food Hygiene Certificates

Allergen Awareness Training

First Aid at Work

Customer Service Training

Summer and outside events are a match made in heaven

Here are ten top tips to make sure your summer event is perfect.

1. Add some personal touches
Think about how you can create a personal touch for participants. Are you providing goodie bags? Don’t leave them as an anonymous corporate sample, put people’s names on them. Think too about what your audience are really interested in and make the event relevant.

2. Invitations
Take a few seconds extra when sending out invitations and personalise them. An unusual or themed invite will make it stand out and encourage people to seriously consider coming.

3. Theme
Whatever your chosen theme, emphasise key messages and brand identity by using coloured lighting, and creative elements such as the use of character mascots, promotional personnel.

4. Venue
Think about how your theme can be stressed via your choice of venue. A traditional theme can be given extra atmosphere by opting for a historic space. Add some imaginative touches to your presentation. How about giving it a red carpet element with a hired crowd creating a touch of Hollywood magic?

5. Wet Weather
Sunny, warm days are perfect for summer events – but this is Britain, and there is always the chance of wet or cool weather. Make sure there is an alternative available in the form of a marquee or indoor space to provide some shelter. This means your event will go ahead no matter whether it is too hot, too wet or too muddy. Having some supplies of branded umbrellas and ponchos available will also create extra good will.

6. Production
Make sure that a good sound system has been installed. You will want everyone to hear what is being said or done during the event. If it goes on into the evening, lighting may also be needed.

7. Add a sensory element
Give your event an extra impact by adding a sensory element. The aroma of flowers is a key part of a summer’s day, but scent is all too often forgotten in event preparation. Why not include scented invitations?

8. Summer menus
Barbeques are a common element in summer events, but why not add an extra touch by including a variety of food trucks? It adds variety and all tastes and diets can be included.

9. Entertainment
Outdoor events provide lots of scope for adding some entertainment to the event. Think about an outdoor band, a magician, stilt walkers, acrobats, and if your event continues into the night fire eaters and fire jugglers add a real touch of spectacle and wonder.

10. Memories
Make sure your guests leave with lots of memories of the event. Themed goodie bags are always popular, likewise special photographs especially if taken alongside a character mascot!

Sponsoring events is always a great way to gain publicity

No matter whether they are undertaken within a firm or on a public basis, they are guaranteed to create a feel good factor. The more unusual they are, the better!

Organic food company Rude Health held what has to be one of the most unusual sponsorships this summer when it sponsored the World Bog Snorkelling championships in Wales! This is an event that has been taking place for many years, and attracts participants from all over the world. Located in the Welsh town of Llanwrtyd Wells, the Bog Snorkelling Championships require participants to swim along a bog channel, preferably in fancy dress and compete for the fastest time.

Rude Health co-founder Camilla Barnard commented, “We hardly ever sponsor anything, but if I could imagine an activity which totally encapsulates Rude Health energy, it would be this. Bog snorkelling is fun, inclusive, batty and completely uncompetitive. It couldn’t be more in rude health.”

Apart from having its name on the event and the medals awarded to every participant, Rude Health served snacks, hot chocolates and its dairy free turmeric lattes at the event.

Want to get your brand name in the air?

Over the years, the world’s only aerobatic formation wing walking team has attracted massive attention at all kinds of displays as they perform acrobatics while flying at high speed through air on the wings of a stunt plane. Definitely death-defying and attention grabbing! Aerosuperbatics have taken to the skies as the Utterly Butterly Wing Walkers, The Crunchie Flying Circus and the Breitling WingWalkers.

Sustainable Software company Greenleaf grabbed the headlines by linking up with Cheltenham City Racecourse by creating the first ever Zero-carbon race day. It set up a Greentech Expo involving over 200 companies, as well as the race itself as a way of promoting its credentials as an independent certification body and tech company.

Unusual sponsorships provide an immediate talking point

It doesn’t have to be a big time event, there are lots of opportunities for smaller scale ones which can be ideal as a local or regional activity. Supporting a charity by holding a murder mystery event, a treasure hunt, abseiling down a building can attract a lot of attention. For something slightly different, you can even consider sponsoring a fire walk event. The idea is simple – people raise money by obtaining sponsorship to walk across hot coals!

The opportunities to gain publicity from such events are considerable. It offers numerous company engagement possibilities on social media. You can create blogs, encourage staff engagement such as sponsoring staff teams to take part. Think about competitions and promotions that can be held on the day to gain extra publicity and public engagement.

Consider all the ways in which you can maximise brand visibility

Have a company stand with banners located in a prominent position. Bring in promotional staff to hand out giveaways such as branded merchandise, tote bags, healthy snacks, reusable cups, mugs and straws. Have special bags available for participants to take away as well as other items for more general use available to the public coming to watch the event.

Add a little extra fun by providing a character mascot to roam around in a special costume. Such mascots immediately attract attention and make people smile. The resultant photographs of the mascot with members of the public and participants invariably appear on social media and can often go viral.

Awards systems are a great way to incentivise staff and encourage the development of community initiatives

The Coronation provides a fantastic opportunity to link into a momentous national event by organising some special awards in your business or locality.

All it takes is a little time and preparation. Decide on your target market – your staff or your potential customers and devise a simple scheme. Perhaps asking for nominations for someone who has made a difference this winter or recognising levels of customer care?

You could give it extra Coronation impact by choosing a related theme. It could be focus on aspects of the Coronation or the King’s interests in conservation and heritage by linking with a relevant local charity or community group.

Gloucestershire pizza makers, CasaGees, have done exactly that – and it is gaining them considerable publicity. They have launched an awards scheme called Takeway2Giveaway as a way of marking the Coronation. Over the Coronation weekend, they plan to donate half their profits from weekend pizza delivery sales to a charity or good cause located within a four mile radius of their business.

Members of the local community are requested to nominate projects that they feel need extra support. It could be a local charity, a sports team or a community group. CasaGees will shortlist 3 projects out of these nominations. People will have to vote for one of these. The project with the most votes will receive the donation within one week of the coronation.

It’s a simple idea but effective and can be set up within days.

One of the big advantages in running an awards system is that it attracts goodwill and makes people feel good. Whatever the scheme, it can create a fantastic promotional activity for the business at every stage of the process. Even just sending out regular social media posts will attract attention. Why not hire an eyecatching character mascot? If your scheme has a conservation theme, you could think about an animal, flower or tree. Such characters definitely attract attention – the British Asparagus Festival has its own Gus the Asparagus Man dressed up as a stick of asparagus! Add in a few stunts with the aid of promotional staff and the publicity potential can easily go viral.

For larger schemes involving several recipients, you can even give it extra prominence by creating a memorable red carpet event complete with comperes and renting a crowd to cheer on the participants.

Simply having a fantastic stand at an exhibition is not enough if you want to maximise the return on your investment. Proactively connecting with visitors is crucial.

This is where exceptional staff who really know how to talk to people, explain products and services can make a difference. These are the people who can generate the leads that your sales staff can then follow up afterwards.

Our lead generation staff excel at exhibition work and have worked successfully at top exhibitions such as Crufts and Ideal Home. They know the exhibition centres, the type of visitors who come to the exhibitions and above all they are skilled communicators.

Before we send out staff to an exhibition, we make sure they are fully briefed in advance. They are given information about the client, about the products and services as well as the target market. When they arrive at the exhibition, they will be ready to start work immediately.

For the duration of the exhibition, they became an indispensible part of your team providing help and assistance wherever necessary. They will help set up your stand and familiarise themselves with any equipment, or interactive technology. If you want them to hand out samples as well as talk to prospective customers, they can do that.

How do we work?

Phone or email us with details of your requirements. Indicate which exhibition is involved, the skill set of the staff you need and any special requirements such as a liking for dogs, or an ability to use computers.

We respond quickly and seek clarification of any queries relating to your campaign goals and targets.

We search our database and identify the most suitable people for the job. You take a look at their details, and make your choice.

Confirm the booking

We brief the chosen staff and provide any information that they need. As they are all highly experienced people, this is generally very straightforward.

You can then rest assured that on the day of the exhibition, you will have the best possible staff ready to start work generating leads as quickly and efficiently as possible.

Event Planning Tips

Nothing is certain when it comes to event planning – the disruption of the past two years have emphasised this. The pandemic showed just how quickly trading situations can change with events suddenly becoming virtual before returning to in-person and hybrid styles. Train strikes, airport problems, communication difficulties as well as the ever-present need to consider that some people may still be shielding continue to have an effect on the event industry.

Marketeers and event planners have had to learn from the experiences of the past two years. Above all it has resulted in a greater focus on the need to personalising events since one in four consumers changed buying methods during Covid when a personalized experience was not provided. Research carried out by Mckinsey has shown that more than 70% of buyers now expect personalized interaction.

Demand Gen’s 2022 Demand Generation Benchmark Survey noted that over a third of marketeers now regard virtual events and digital experiences as a key engagement tactic set to become increasingly important. Many marketeers are exploring ways of increasing their involvement in digital and hybrid events. Research showed that over 86% of B2B participants were still experiencing a positive result from hybrid events seven months after an event was held. Not surprisingly, companies were planning to increase the number of the number of hybrid events being held each year.

So what can event organisers learn from this when it comes to physical events?

It is important to translate the benefits of virtual events into physical settings. Greater attention has to be paid to ways of enabling people to link into events remotely from anywhere in the world. This widens potential audience numbers as well as extending speaker options, making it easier to obtain access to people who cannot visit in person.

It has become important for event organisers to match up sessions and content from registration onwards. Providing personalized content and experiences in a variety of formats is becoming essential, whether in person or via a screen.

Maximising use of QR codes during events helps develop this personalisation of a product offer. It can encourage networking and data capture.

Explore ways of encouraging audience participation. It makes people feel instantly more engaged. Typical activities can include the provision of Solution Rooms where visitors can seek peer-supported advice, or human spectrograms in which questions have to be answered by moving to different areas of the room.

Lighting talks are a brilliant way of encouraging participants to follow up their participation as well as maintaining their interest throughout. Each talk lasts only a short time – but throws up multiple ideas.

Being responsive to participant requirements when it comes to events and conferences encourages people to take part, resulting in a much greater event success rate no matter what the future holds.

Exhibition Tips – How to get people to stay on your stand longer

Having fun is one of the best ways to encourage visitors to stay longer when you are taking part in exhibitions. Very few visitors can resist the temptation to walk past a trade show exhibition stand where people are clearly enjoying themselves without being drawn to take a closer look.

Trade shows are one of the best ways of developing business networks and sales. It is also extremely competitive – every exhibitor has the same aim. Making sure you stand out from the crowd is important when it comes to encouraging visitors to stay longer on your stand rather than that of your competitors. Giving them reasons to stay – and thus more time to talk to them and collect data is essential.

Offering a competition incentive for the highest scorers such as a cash voucher, a promotional item, a chance to win a product provides an added incentive to encourage people to take part. It’s a great way to engage with a brand and have some fun.

Putting top results up on social media will provide extra publicity on a wider scale, and encouraging visitors to check back to see how well they are doing in leader boards.

We’ve pulled together a list of some of the most successful interactive game that have been attracting attention at exhibitions recently.

Ideas for Exhibition Stands

1. Escape Room
A simple concept which intrigues and makes people think carefully about your company. Attendees have to search for clues, which can be industry or brand related as you desire. Make a note of their success speed and at the end of the show, give a prize to the fastest escapees – a good incentive for collecting data!

2. Augmented reality scavenger hunt
Hunt for hidden clues and objects on a computer screen to complete the search. By linking the clues with your brand and product demos, it gets visitors engaged with your company.

3. Make music and keep the beat
Step on lights, sensors or numbered plates to create music. A simple concept that no one can resist and by making it competitive you can encourage people to visit several times.

4. Racing or flight simulators
