Case Study: Partnering with Bright Partnerships for DHL’s Race Weekend Activation

In July 2024, DHL aimed to create an engaging and immersive brand experience for motorsport fans during race weekend. The primary goal was to encourage fans to interact with DHL’s on-site activities while also generating dynamic content for social media.
We partnered with Bright Partnerships to provide both a model/actor and a brand ambassador who would enhance fan engagement and support content creation. The strategy was designed to not only bring DHL’s brand to life in a playful and energetic manner but also to ensure that the content produced would have a strong digital presence, reaching audiences far beyond the live activation.

Our Approach:
To bring DHL’s vision to life, we carefully selected a model/actor who would be able to embody a playful and mischievous character. This role required dramatic actions rather than spoken lines, ensuring that the actor could use exaggerated gestures and expressions to engage with the audience as he was wearing a helmet. The choice of a non-speaking part was strategic, allowing the character to be universally relatable and easy to understand across different cultural and language backgrounds. The actor’s dynamic presence was crucial in attracting attention, creating an element of surprise, and encouraging spontaneous interactions with fans.
In addition to the actor, we also provided a brand ambassador who played a pivotal role in the event’s execution. The brand ambassador was responsible for actively engaging with attendees, guiding them through DHL’s activations, and ensuring maximum participation in the interactive elements of the event.

Execution:
The activation took place across multiple high-footfall locations in London, strategically chosen to maximise brand exposure and fan interaction. Each location was carefully planned to align with the movement of motorsport enthusiasts and general audiences, ensuring that the event captured both targeted fans and casual passersby. The execution involved both live fan engagement and a structured content shoot, designed to create compelling material for digital marketing purposes.
One of the key elements of the activation was the on-site fan engagement. The model/actor played a crucial role in bringing excitement and energy to the event, performing in a way that naturally drew in crowds. The mischievous and playful character interacted with fans in a lighthearted and entertaining manner, making the experience memorable and shareable. Fans were encouraged to take part in DHL’s activities, engage with branded elements, and capture moments with the character. This approach helped create a sense of fun and enthusiasm around DHL’s presence, reinforcing the brand’s association with speed, excitement, and reliability.

Results:
The activation successfully increased fan engagement by creating a high-energy and interactive brand experience. The combination of a charismatic actor and an energetic brand ambassador proved to be an effective strategy in drawing crowds and encouraging participation in DHL’s activities. Fans were not only entertained but also became actively involved in the event, helping to reinforce DHL’s connection with motorsport enthusiasts.
Beyond the on-site interactions, the content shoot provided high-quality material that was used to amplify the campaign’s impact. The photos showcased DHL’s presence in an engaging and visually compelling manner, making it an effective tool for social media engagement.
In addition to the immediate engagement and content success, the campaign also contributed to expanded brand visibility. By hosting the activation at multiple locations in London, DHL was able to reach a diverse audience, including both motorsport fans and the general public. The widespread reach of the activation, coupled with the online presence of the content, ensured that DHL’s messaging was effectively communicated to a broad demographic.

Conclusion:
Our collaboration with Bright Partnerships proved to be a highly successful strategy in elevating DHL’s presence during race weekend. By combining live engagement with digital content, we created a brand experience that left a lasting impression on motorsport fans both on-site and online. The campaign demonstrated the power of strategic partnerships, well-executed activations, and dynamic content in creating a memorable and impactful brand presence. Moving forward, this approach can serve as a model for future activations.

Awards systems are a great way to incentivise staff and encourage the development of community initiatives

The Coronation provides a fantastic opportunity to link into a momentous national event by organising some special awards in your business or locality.

All it takes is a little time and preparation. Decide on your target market – your staff or your potential customers and devise a simple scheme. Perhaps asking for nominations for someone who has made a difference this winter or recognising levels of customer care?

You could give it extra Coronation impact by choosing a related theme. It could be focus on aspects of the Coronation or the King’s interests in conservation and heritage by linking with a relevant local charity or community group.

Gloucestershire pizza makers, CasaGees, have done exactly that – and it is gaining them considerable publicity. They have launched an awards scheme called Takeway2Giveaway as a way of marking the Coronation. Over the Coronation weekend, they plan to donate half their profits from weekend pizza delivery sales to a charity or good cause located within a four mile radius of their business.

Members of the local community are requested to nominate projects that they feel need extra support. It could be a local charity, a sports team or a community group. CasaGees will shortlist 3 projects out of these nominations. People will have to vote for one of these. The project with the most votes will receive the donation within one week of the coronation.

It’s a simple idea but effective and can be set up within days.

One of the big advantages in running an awards system is that it attracts goodwill and makes people feel good. Whatever the scheme, it can create a fantastic promotional activity for the business at every stage of the process. Even just sending out regular social media posts will attract attention. Why not hire an eyecatching character mascot? If your scheme has a conservation theme, you could think about an animal, flower or tree. Such characters definitely attract attention – the British Asparagus Festival has its own Gus the Asparagus Man dressed up as a stick of asparagus! Add in a few stunts with the aid of promotional staff and the publicity potential can easily go viral.

For larger schemes involving several recipients, you can even give it extra prominence by creating a memorable red carpet event complete with comperes and renting a crowd to cheer on the participants.

Increase Sales and Brand Awareness with Pop Up Shops

Looking for a way to develop sales or create a brand image? Or simply to get your name out there among consumers? Ever thought about setting up a pop up shop?

Such shops are increasingly common on high streets around the country, as well as at venues, festivals and events of all kinds. Nor does it have to be an expensive exercise. Some companies who have taken on pop up shops have created up to a third of their annual income within just a few weeks, or even days at a big festival like Glastonbury or the Great Dorset Steam Rally.

The potential opportunities provided by pop up shops have not gone unnoticed. Local authorities such as Carmarthenshire Council, keen to encourage local businesses have been setting up high street pop up shops. Local craftspeople and small companies have found such shops an ideal way to develop brand awareness, develop business concepts and sell their products. In London, speciality food retailer Partridges has long been involved with creating short term small speciality markets adjacent to their stores, in which small producers can connect with the public.

The options for pop-up shop creation are wide ranging. Vacant shop units can be found everywhere, as attempts are made to revitalise high street shopping. You can hire a small shop unit on a high street or opt for a gazebo or display stand at a Sunday market or special event.

There is no doubt that operating pop-up shops can be very profitable in every way. NOVELTEA is a company which utilised this method of trading as a way of developing its brand. The company concept was itself unusual – cold brewed spirits infused with tea. Typical drinks on offer include Earl Grey tea infused with and gin, or Moroccan green mint tea with rum. The only way to initially explain it and get people to taste the brew was to provide samples and talk directly to consumers. Pop up shops were the perfect answer as it offered direct consumer engagement.

Pop Up Shops Create Opportunities

The key to success in pop up shopping does require a little thought and preparation. It is not enough to simply provide product and have a couple of retail assistants to sell it. Maximising the benefits of a pop up shop at any location, whether on the high street, at a festival, event or market requires more than that.

Consumers need to be engaged from the moment they see a sign. They need to immediately have an idea as to what you are offering, so the brand logo and signage has to eye catching. Displays too have to be inspiring, encouraging potential shoppers to look further. Above all, the attention of shoppers needs to be engaged so why not promote it with a pop up crowd. The appearance of a sudden crowd outside the store, singing and dancing or even within the store itself will make people stop and look curiously at what is happening. Making sure there are some press photographers around adds to the long-term effect, generating a media buzz. Naturally, a lot of people will take selfies or images and post them on their social media pages. It doesn’t take much to generate attention.

To complete the offer, make sure there are sampling staff around to capture names and addresses for long term brand development – after all some of those people watching could well have stores or businesses that might be interested in your product.

Trends & Challenges Facing Events in 2022

Corporate events and conferences look set for a busy 2022. Numbers are rising rapidly as the pent-up demand from the past two years is released. But how do you make sure that your event is the one that people choose from the vast array available?

Bear in mind that people are choosing carefully. They have to have a reason for taking part and it must provide real value to their business.

Consider your event format

Covid-19 has brought out major changes in behaviour. Online events remain popular simply because they can reach a lot of people across a variety of locations. What has become apparent is the rise of hybrid meetings involving both face to face and online attendees. Hybrid meetings can be very useful in providing access to a much wider range of speakers than might be available on a face to face basis. Livestreaming events means that you can also provide long term access for marketing or training purposes

In person events

After two years of remoteness and social distancing, people do want to connect face to face again. In person events are in demand – but make sure that you have the ability to cope with any restrictions that might still be applicable, as well as the needs of those who may have health concerns.

Providing hand sanitiser or checking vaccination status can help create a greater sense of safety.

It’s not just safety that people are thinking about when attending in person events – they also want to mingle and chat, take part in Q&A’s, relax with some food and drink. Take the time to make sure your event brings together all those elements, and creates an experience impossible online.

Intimate micro-events

Small events have become very popular in the wake of the pandemic. It offers greater interaction, more discussion and is good for team building and workshops.

Choose your theme

Make your theme applicable to your sector, and consider social issues such as climate change, sustainability which are attracting attention. Other themes that have good currency include wellness, diversity and inclusion, hybrid working, new and innovative technology.

Amenities and venue

Attractive, easy to reach venues with good amenities are much in demand. Good networking is essential, especially if it is a hybrid event. Consider too the increasing trend for sustainability – think about the type of materials even catering options that are being offered. Eco-conscious attendees will be taking note.

Conferences, award ceremonies, exhibitions, trade shows and many other marketing events simply stopped.

Now, as we ease ourselves back into a version of normal, events are looking to open their doors again. But what will events in the forceable future look like? Hiring promotional staff to work with you at an exhibition will still of course be a requirement, but what will change for exhibitors and event staff working at shows across the country?

Promotional staff, Brand Ambassadors, hostesses and event staff will have to have an idea as to the rules at any particular time while working at an event or an exhibition. This might be simply reminding visitors about the importance of social distancing, pointing out hand sanitiser stations or asking people to wear their face masks.

Its likely that at the very least these three simple rules will be with us for a while…. Hands, Face and Space.

Hands – We all know the message and the benefits of cleaning our hands more often and for longer. Exhibition and Event staff will have understanding of the best practice guidance to offer event visitors and feel confident to share the message loud and clear.

Face – Wear a mask. Covid spreads in the air in tiny respiratory droplets that carry the virus. Masks reduce the spread of the droplets which means if a person is carrying the virus they are less likely to spread it when they exhale. Promotional staff are the friendly face of an event to politely remind people to wear their face coverings.

Space – Observing the social distancing rules has become a way of life but that is because of the messages that are given to us all over the place. Thing is, people still forget. This is why event staff and covid control marshals have such an important role to play as events start to open across the country.

What new covid safety measures are being introduced for the events industry

There are likely to be changes as we enter each phase of the lockdown measures being eased. For the events industry its looking like visitors will have provide evidence of a negative Covid test result from a lateral flow test within 24 hours of the start of an event. The social distance rule will be relaxed but a venue will still need to limit the number of people attending an event. Face masks are likely to remain.

Dreams Agency – Open for business

No doubt these are strange times that we are all living through and the events industry has been brought to its knees. There is now a chink of light shining bright and the events industry will soon be in a position to open its doors far and wide.

Dreams Agency, a specialist in providing event staff across the UK, has managed to pull itself up, dust itself down and is now ready to provide promotional teams at events across the UK when it all opens up again.

Good times are coming. Support the events industry.

Exhibitions and events after Covid-19! What might they look like?

At the moment it all looks very sad. No exhibitions, no events, no conferences and nothing to look forward to.

Having said that, the exhibitions and events industry WILL return and we suspect bigger and stronger than ever.

The second quarter of 2020 and onwards was pretty much cancelled with many exhibitions and events postponed until the end of 2021/22. That means the final quarter of 2021 is going to be a busy one for everyone connected to the events industry.

There will of course have to be some changes. The industry HAS to move with the times and at the moment the times we live in dictate not only how an event should run but what the general public expect so they feel comfortable and save to attend.

Dreams Agency is very strong in the exhibitions and events sector providing hostesses and event staff all over the world so we have good experience in the industry. So, this is how we feel things might change in the future.

1. Restricted number of exhibition visitors

Current lockdown restations will ease as we move through 2021 but it certainly wont be ‘lockdown is over, we can all carry on as we did in 2019!’ No, there will be stages of the country being opened up and part of that will likely be restrictions on how many people can meet at a venue.

First thoughts are that this will be a nightmare for event and exhibition organisers because selling as many tickets as possible means attracting more exhibitors to the event which in turn means more people wanting to attend.

However, we believe that the problem of restricted visitors could be turned on its head to the advantage of the organisers.

The organisers will need to pay real attention to who will actually be attending an event. If they can clear the floor of people just attending for a nice day out but with no real intention of engaging with the exhibitors or buying anything and focus on offering tickets to people who want to engage, want to purchase and that have a genuine interest in the exhibition because it relates to their industry or their personal life then that’s an attractive proposition for the exhibitors.

2. Virtual events, virtual exhibitions. VIRTUAL WORLD

During 2020 we all became accustomed to zoom calls and virtual conversations and this was a bit of a lifeline for the events industry. Whilst its not the same as a face to face meeting it was certainly better than nothing.

As people become more accepting of a virtual event it is likely to be a good alternative option to the exhibitions and events industry as we step into 2021. Even when lockdown measures are eased and exhibitions are given the opportunity to open again some people will be nervous and feel more comfortable attending virtually. This is another area for the industry to cease an opportunity and offer the people what they want.

For the events industry a virtual event is more cost effective than a physical one. For exhibitors and attendees the costs are reduced because there is no additional travel or accommodation expenses.

Once we (the industry and the general public) truly embrace a virtual event the benefits are clear….
• No travel expenses
• No expensive parking
• No accommodation requirements for visitors or exhibitors
• No stand set up
• No risk of catching or spreading covid-19
• No limits on how many people can attend
• No need for PPE

We are fortunate at Dreams Agency to have been working with many companies testing their event virtual platforms and we can tell you its very impressive. You can insert yourself into the exhibition hall and walk around virtually as you would if you were attending in person. We have also had our staff carrying our market research and surveys online.

3. Personal Protection Equipment for exhibitors and event visitors

Eastern cultures have been ahead of the game for some time when it comes to PPE for everyday use. You only need to take a look at the trains in China years ago and you will have seen a high percentage of the commuters wearing face masks.

This is likely to continue to be the norm everywhere else in the near future. The hospitality industry is already gearing itself up to making it the social norm for a H&S dress code so people feel comfortable attending their establishment

Even though there will be restricted numbers allowed to attend an event their will still be a PPE uniform for everyone to wear if they are to be allowed entry. There will be a requirement to have your temperature checked at the event entrance before you are allowed to go in. Around the clock cleaning of all stands and break out areas during an event will be required with more powerful cleaning products to reduce the risk of infection.

The industry understands that if they are to be allowed to open an event the health and safety hoops must be jumped through to keep everyone safe. Lets face it, its not a huge inconvenience when you consider there is the opportunity to stage an event.

Events Post Covid-19 – Summary

This is all guess work of course. Nobody really knows what the event industry landscape we look like when we begin to open up the country but there is hope and there is optimism that we can all make this work.

Our industry will get through this and we will have the opportunity to enjoy an exhibition, do some networking and meet friends at a concert although it might be a different experience to what we have experienced in the past.

We say lets embrace the difference, enjoy the new experience and help each other get our industry working and being stronger than ever.

Get The Most Out Of Your Virtual Events

With different tiers and restrictions being announced all the time, it is important that any event is prepared to adapt and keep up. None of us knows exactly what the future holds and so, for any business to be successful you need to be prepared for all eventualities. With regards to events, it seems that for the foreseeable future virtual events are going to be the way forward.

Held correctly these can be a great way to reach a large number of people and promote your business to people who really matter.

What Does A Virtual Journey Look Like?

We’re all at different stages, but that doesn’t mean we can’t adapt any event to be a virtual one – and make it a success.

• Webinars – These are great for short, quickly arranged events, going virtual at short notice. You can use slides and content you were planning to display at your event to create something virtual.
• Experiences – If you have time, or you’ve already held a webinar than inject something fun into your virtual event; you could incorporate something interactive that gets people involved.
• Conversation – It is all well and good showing people what you can do, but you need to give time for conversation. Book-in calls and talk to them about what your product can do and how they can benefit.
• Balance It All – In all honesty, for your virtual events to pack the biggest punch, using a mixture of all of these is highly recommended.

The Importance of Conversation

You need to keep people interested, which can be harder when they are just sat in front of a computer screen. However, for them to really understand the passion for your product you need to talk to them.

Conversations can be varied and you can use things such as roundtables, where several people join a group chat and you discuss a chosen topic.

Think-Tank sessions are also popular, where people listen to experts in the subject matter with an option to ask questions at the end. Even things like speed networking events can be a good way of getting everyone involved.

Of course, you can also go back to basics and simply pick up the phone and talk to people. There is a lot to be said for the art of conversation and that is definitely something you should take into account when you’re considering ways to interact with people interested in your product.

Hire a presenter or host for your virtual event!

If you need someone to manage or compere your virtual event then we can help. We have a database of over 7,000 staff including presenters, actors and hosts who are experienced in virtual and face to face events and can give your event a bit of something extra special!

Why Hire Hostesses and Hospitality Staff?

As a business, there will be events on your calendar that will play an important role in galvanising your brand’s reputation. Some will be public attended events, others with be corporate based events and some will be for your staff. At the heart of these kinds of events is for them to be social occasions, a chance for people to network and chat.

It all needs to look and feel effortless. And they can but the planning and organisation that goes into them are not to be underestimated. And that’s why hiring hostesses and hospitality staff is beneficial.

Hostesses are essential front of house staff

When people arrive at your event, they will expect to be met and greet. This attention to detail will not go unnoticed. Front of house staff will meet and greet, give people the information they need for the event, as well as run a cloakroom and other details that contribute to the efficient running of a corporate social event.

For other types of events, front of house staff can register guests, essential for health and safety reasons. Once the front of house area is complete and your guests have arrived, they can begin the process of circulating throughout the event making sure that people are enjoying themselves.

Setting the right image

Reputation in business is everything and when it comes to a corporate event, it is still very important, if not more so.

When you hold a corporate event, you want (and need!) the whole thing to run smoothly. When it looks effortless, you show that as a company you have the ability to organise and facilitate events and projects. It gives the right impression in other words.

But that means you need people. Hostess and hospitality staff make sure that everything is in place. Fully briefed before they arrive, they know exactly what they need to do.

Bringing a range of experiences to the event, they can also respond when they need to. So when there is a surge of visitors, they alter what they are doing to make sure that everyone is greeted into the event and so on.

Knowing that you have the professional hospitality staff on hand at your event, you can get on with the other important stuff – making sure your brand is noticed by everyone.

Energetic, upbeat and professional agency staff

Working in the world of hospitality is all about working with people, understanding what people want at an event and making sure that it gets delivered.

But events are tiring. They take a lot of energy and upbeat personality to maintain the same level of hosting and welcome from start to finish.

Hostesses need to be organised and professional but al approachable, friendly and upbeat. And that’s exactly what our hostesses and hospitality teams are!

But more importantly, they provide the hospitality services that a corporate event like yours deserves.

To find out more about hiring hostesses and hospitality staff for your events, contact us at Dreams!
